FITNESS REIMBURSEMENT

The City of Savannah allows active employees to be reimbursed for membership dues for participating in physical activity at a fitness facility of their choice.  
If you are a member of a gym/fitness facility or participate in online classes and attend a minimum of 8 times per month, you are eligible to submit for up to $40 per month of reimbursement before taxes.  Reimbursements will be distributed quarterly (4 times a year).

Eligibility Requirements:

  • Must be a full-time, active City of Savannah employee
  • Complete at least 8 fitness sessions per month
  • Sessions may be completed at any fitness facility in the community (gym, studio, or YMCA etc.) or through an online fitness program.

Quarterly Submissions:

  • Reimbursement requests are submitted once per quarter, not monthly.
  • Submit reimbursement for any month(s) you completed during the quarter – whether that is one month, two months, or all three months.
  • Submission windows open one month before the deadline. Example: Q1 (January – March) submission window opens March 15 and closes April 15.
  • Submit your request using the Smartsheet link and upload both proof of payment and proof of participation. 

Proof of participation must clearly show your name, activity dates, and completed sessions.  Acceptable proof of participation includes:

  • Official gym or studio check-ins
  • Class attendance logs (on facility or program letterhead)
  • Fitness or class attendance app records
  • Screenshots showing completed sessions or workouts

Submission Deadlines

  • Q1 (January 1 – March 31): Due by April 15, 2026
  • Q2 (April 1– June 30): Due by July 15, 2026
  • Q3 (July 1– September 30): Due by October 15, 2026
  • Q4 (October 1 – December 31): Due by January 15, 2027

Reimbursement:

Following the submission deadline, the Health & Wellness Coordinator will send an email confirming approval, including the date reimbursement will be processed in your paycheck. 

*Reimbursements are at the discretion of the HR Benefits Division and are limited to one fitness facility per employee. Failure to submit all required documents on time will result in the denial of your request.

As part of our commitment to employee well-being, City of Savannah employees are invited to participate in the 2026 #HonorMark 5K, and we will cover the race entry fee!  This is a great opportunity to get moving, honor our heroes, and be part of a community-focused event.
